Automated workflow webhooks improve your team’s productivity

Only available on our Professional and Enterprise plans, Insightly’s automated workflows, are like smart robot assistants that live in your account. You tell them what to do, when to do it, and they take action when you specify. For example, you can automatically send an email when a lead hasn’t been followed up with in the last 30 days or you can automatically update a field when a contact becomes a customer. And, now, we’ve added the ability to “Add a New Webhook” which means that you’re able to use workflows with other tools that support webhooks like Zapier or Google Sheets.

Some examples of how this improvement can be used are:

  • Send won opportunity information to a Google Sheet so that their finance team has the most current booking information.
  • Adding a lead to MailChimp list for an email campaign when the lead is interested in a specific product type or other criteria.
  • Sending CRM data to Zapier and the hundreds of other apps that support Zapier.

As you can imagine, webhooks in workflows opens up a lot of possibilities, especially when you connect to a service like Zapier. Some of the benefits of using workflow webhooks are:

  • Increased team productivity. When using a webhook, users can efficiently take actions in other systems which helps make your team more productive. For example, users can automatically add leads or contacts to a mailing list for an email campaign.
  • Improved team collaboration. Users can automatically keep other teams & departments updated since adding a webhook allows users to send CRM data to other systems that different teams use.
  • Time savings. Users no longer needs to manually export and import data to ensure teammates are updated. Once a workflows webhooks are set up, data flows freely between systems with no manual intervention required.

Find linked record details with the Linked Items Report

Have you ever wanted to know the email addresses of all contacts linked to all won opportunities? Or, have you ever wanted to know the industry of all organizations linked to projects in a particular stage? Well, now you can!

Using the Linked Items Report, you can find out all of those email addresses and more. In addition to viewing email addresses, you can view the relationships between different record types (contacts, organizations, opportunities and projects). You can create reports of connections like:

  • All contacts with the opportunities and projects they are involved with
  • Decision makers and influencers for each opportunity
  • Stakeholders and contributors linked to each project
  • Employees or members linked to your organizations

Easily answer questions about your business using charts in Insightly’s custom reports

Does it take ages to answer regular simple questions about your business performance because you’re wading through data? Are canned reports too inflexible to provide the answers you need? Not only can you answer questions about your opportunities, tasks, leads, contacts and organizations, but also projects. For example, a line chart can easily tell you how well your business is converting leads by month. Or, a funnel chart can tell you how many opportunities are in a each stage and the aggregate value of those opportunities in each stage. (See below.) Easily find your key CRM info using filtering on Insightly’s mobile app when you’re on the go

When you’re on the go, preparing for meetings and taking calls, you need to find those critical pieces of information like an opportunity’s details, the status of a task and more. Now with Insightly’s app, you can easily do just that with its improved filtering. With filtering, you can find records that are assigned to or created by specific users, are using a specific tag, are in a specific state, and much much more. The screenshot below should provide a better sense of how you can filter your data.

In addition, we’ve added a few other goodies to Insightly’s app which are listed below. (See screenshots below.)

  • Using customized State Reasons? Now you can select one when editing an opportunity’s state.
  • Force Touch on iPhone 6s & up. Hard press the app icon to search or add a new task, contact, or lead right from the Home screen.

And, one more thing, we’ve also made some improvements in an earlier version (3.16) that are worth a small amount of your attention.

  • Are you using an account with Advanced Permissions? Our mobile apps now respect the permission settings that you have configured in the web app. So, users will only be able to view, edit and delete items to which they have access.
  • Do you want to automatically open the Insightly app when you click on an Insightly link? Now, you can!  So, if you receive an Insightly email notification and you click on a link to an Insightly record in it, the Insightly app automatically opens and takes you to the appropriate record.

Automatically Update Win Probability By Opportunity Stage

Do you use the same probability of winning for every stage of every opportunity? Are you tired of manually updating the “Probability of Winning” field on your opportunities when the opportunity reaches those stages? Well, with our new “Opportunity Stage Probability” improvement, you can do exactly that. All you have to do is define the “Probability of Winning” field when you’re defining your pipeline stages. Then, when your opportunity reaches each stage, the “Probability of Winning” field is automatically updated to the percentage you’ve set for that stage. (See screenshot below.)

With this improvement, you can ensure that consistent probabilities are used across all of your opportunities. As a result, you can have a better view into the expected revenue in your sales pipeline. (Remember, expected revenue is calculated as “Opportunity Value” * “Probability of Winning”.) So, not only will you have a better view into each opportunity, but you will also have a better view into how much value is in your sales pipeline by stage. And, the good news is that this improvement is available on all plans.

Automate your workflows and focus your time saved on growing your business

In more formal terms, Insightly’s automated workflows are a set of actions, predefined by you, that are executed when criteria you specify are met. Our one minute video below explains it best.

In the workflow screenshot below, you can see that any “Not Contacted” leads in the states of “CA” and “OR” and that are assigned to “JC” receive an email immediately and are marked as disqualified after 21 days if no contact has been made. (If contact has been made with the lead, JC would manually change the lead’s status to “Contacted” which would stop the workflow from changing the lead’s status to “Disqualified” at 21 days later. Of course, JC would want to send more than one follow up email to the lead, but for this example’s sake, we’re just sending one follow up email.)

As you can see in the expanded actions menu in the screenshot above, you can perform a bunch of actions such as:

  • Add a task
  • Send an email
  • Add a new record (Lead, Contact, Organization, Opportunity, or Project)
  • Update this record

Not only can you send a bunch of emails and update a record using a workflow, but you can also create new records and add a task all in the same workflow. As you might imagine, the possibilities are limitless. In fact, the possibilities are so plentiful that we want to hear from you how you plan to use Workflow Automation. To do so, just share your plan in our “Inside Your Insightly” community forum.

One last thing in case you were wondering, Insightly’s automated workflows support all record types (Leads, Contacts, Opportunities, Organizations, Opportunities and Projects) and all field types – including custom fields!

Merge those pesky duplicate leads and contacts with Insightly’s SmartMerge!

We’ve all been there. We add leads, contacts and organizations to Insightly through manual imports, web forms and the API. The result is that multiple records are created for the same contact or lead. And, not only do duplicates render reports inaccurate, but they also drive up your record count and use up more storage space.

Well, I’m happy to announce that this is no more!  You’ve had the ability to SmartMerge Organizations, but, now you can SmartMerge Leads and Contacts too. So, those pesky “dupes” will no longer haunt your reports, drive up your record count or use up unnecessary storage space.

Using SmartMerge, you’ll quickly identify all of your duplicate records and be able to tell Insightly what records to merge or you can find duplicates of specific leads or contacts and merge them.

And, once you’ve identified what records you want to merge, just indicate what record is the “Master Record”, click “Merge”, and the records will be merged. Once merged, you’ll have one record with all of the empty fields populated in the master record and all “non-master” records will be placed in the recycle bin. So, there’s no need to fret about losing any data.

The attributes that are merged for contacts are: links, tags, tasks, notes, emails, file attachments, contact infos, dates and addresses. And, the attributes that are merged for leads are: tags, tasks, notes, emails, file attachments and addresses.

The best news is that this improvement is available on all of Insightly’s plans – including the free plan. So, if you’ve got a ton of leads or contacts and you want to make sure you don’t have any duplicates, check out this improvement.

Update your records in bulk using Insightly’s improved Import Wizard

By popular request, I’m happy to announce Insightly’s improved Import Wizard. With it, you can now update your Insightly records in bulk. So, you’ll never have to manually update numerous records again. For example, if you just exhibited at a trade show, received a list of booth visitors and want to mark them as such in Insightly, you can now easily do it with just a few clicks. And, not only does it update existing records, but it also adds new records if a match isn’t found. And, if you think this only supports leads or contacts, you’ll be happy to know that the new Import Wizard allows you to update all Insightly records; leads, contacts, organizations, opportunities, projects and tasks.
