Easily find key info on the Insightly app when you’re on the go

When you need to find key info when you’re on the go, your CRM app should make it easy. For example, if you need to find the contract needed to close the deal on which you just received a verbal commitment, you should be able to find it on your CRM app just by typing a few characters. So, that’s exactly what we developed into the Insightly app.

With Insightly’s app, you can now:

  • Easily search for files or notes stored on Google Drive, OneDrive, Box, Dropbox, Pandadoc and Evernotes using the mobile search.

Remain productive on the go using the Insightly App

When you’re on the go and need to remain productive, you want your CRM app to help you focus on moving business forward. For example, you’ll want to create recurring tasks, follow key opportunities, be notified of important tasks and know the last time a contact had an activity before or after key interactions.

For example, after meeting with a key business partner at their offices in person, you may want to set a recurring task to follow up weekly until an agreement is reached. Or, you may want to immediately follow an project after you close a deal to make sure it is delivered as agreed. Never miss a beat because your CRM app won’t let you set recurring tasks or follow important items.

With Insightly’s app, you can now:

  • Receive push notifications on task reminders

View any file added to any record from the Insightly app wherever it’s stored

When you’re on the go and need to see important files related to specific opportunities, projects or contacts Insightly’s mobile app has you covered. Now, with the Insightly app, you can easily view and access files associated with any record so you can remain productive when you’re on the go.

For example, when you close a deal with a contact in person verbally, but need documents signed to formally close the deal, you can see the file in the opportunity you’re closing and be able to share it on the spot without wasting any time. Need to do a quick edit? Simply click on the file and the associated app opens the file. Never miss a closing opportunity because you need to share a file from your desktop.

View and search your mobile CRM info even when you don’t have internet access

When you’re in a location with spotty internet access, it’s important that you can view and search all of your account info so you can be prepared for your next meeting.

For those of you keeping score, this isn’t a new capability, but we’d like to point out that you can easily search and view ALL of your account information without internet access unlike other competing apps. And, you don’t have to specify what information you’d like available in offline mode. Simply sync your app and, when you’re offline, you can search for and view whatever information you need. With Insightly’s mobile app you’ll always have access to your key business info regardless of internet access.

Ensure your opportunities represent reality with the “Opportunity History Report”

When your business is growing and opportunities abound, how can you make sure that your opportunities accurately represent reality or that your reps are managing opportunities correctly? With Insightly’s new Opportunity History Report, you can easily do so.

Using the Opportunity History Report, you can quickly and easily view the changes made to any opportunity by team, individual or recency. The report tracks any changes made to:

  • Bid Amount/Opportunity Value
  • Bid Type
  • Probability
  • Pipeline
  • Pipeline Stage
  • Forecast Close Date
  • Actual Close Date
  • Opportunity State

And, when the change is recorded, you’ll know when the change was made and who made the change. To access the report, just navigate to “Reports” -> “Opportunity Reports” -> “Opportunity History Report”. Once there, be sure to add filters so that you can focus on the opportunities that interest you.

Secure your account by generating a new API key

API keys are long and difficult to remember so that hackers can’t easily access your data. But, we’re willing to bet that you’ve written all of your API keys on a post it and put it on your desk somewhere where everyone could view it because they’re so difficult to remember. We all know this isn’t secure, so we’ve built in a way for you to reset your API key in the event that your key in compromised. To do this, simply navigate to “User Settings” -> “Generate new API key”.

Once you’ve generated a new key, make sure that you update the key in the various apps where you’ve used it.

Of course, the benefit of this goes without saying, but we’ll say it anyway! “The benefit of this improvement is reduced security risk.”

Secure your company’s data with Insightly’s Advanced Permissions

Do your different teams get confused what records they should update? Is there a lot of employee turnover in your company which exposes your sensitive business data to security risk? Are records accidentally deleted permanently or accidentally edited rendering it useless? We understand this risk and have developed Advanced Permissions to help you manage this risk. Check out our quick intro video (1 minute) below to learn more about it.

With Insightly’s Advanced Permissions, you can:

  • Create profiles which control what record types users can see and change. They include read, create, edit, and delete actions for record types, which means you can hide entire tabs from groups of users by removing read permissions.
  • Define the default organization-wide sharing levels for each record type. You can open a record type to all your users (Public) or keep access to a record type restricted to record owners and assignees, their role hierarchy, and sharing rules (Private).
  • Create roles to control which records users can see through a sharing hierarchy. This lets people view records owned by other users, as with a manager overseeing the work of her employees.
  • Create sharing rules which let you make exceptions to roles and expand record visibility by sharing access across or up the role hierarchy. This allows different roles to view each other’s records, as with managers who want to share their views with other managers or with their reports.

Advanced Permissions is helpful in that it provides you with four different ways to ensure the right users have access to the right information. Some of the benefits you’ll experience are:

  • Minimized data loss risk and security liability since users will only have access to the data they need.
  • Improved team collaboration through improved data input since users will only see the data that they need to update or add.
  • Improved data contribution since users will have focus on what records they need to update or add.

Additional Fields in Advanced Reporting

You requested it, so we considered it and added it! With this improvement, you can now use our standard advanced reports with a ton of new fields so you can better see how your business is performing. To use the new fields, simply navigate to the appropriate report and drag the field into the columns.

With these new fields, some of the things you’ll be able to know are:

  • The most or least common source of your leads using the “Lead Source” field
  • The most or least common industry of your leads using the “Industry” field
  • The first organization linked to any contact

And, using this additional information in the report, you’ll be able to make more informed decisions on things like where you get the majority of your leads or how many people from a specific company are interacting with your business.

Next & Last Activity Dates

We know that it’s important for you to know the last time you interacted with someone and the next time you’re planned to get in touch with them. So, we’ve added next and last activity dates to each lead, contact, organization, opportunity and project. This improvement is extremely helpful in that it allows you do a couple of things:

  • You can run a report or a filter to identify leads, contacts, organizations, opportunities and projects that haven’t been interacted with in the last 7 days or whatever time frame you specify.
  • You can run a report or a filter to identify leads, contacts, organizations, opportunities and projects that don’t have a follow up task or event.
  • And, once you’ve identified these items, you edit them in bulk to ensure they are receiving the attention that they need or are closed out.

Restore Items from Insightly’s new Recycle Bin

Have you accidentally deleted an item or a bunch of records and want to recover them? We understand that everyone makes mistakes, so we’ve built more forgiveness into Insightly by giving you the ability to restore accidentally deleted data from your account using a recycle bin.

With Insightly’s Recycle Bin, you can restore deleted items in a jiffy. For up to 30 days, users can recover items from their recycle bins by selecting the items they want to recover and clicking “restore items” as shown in the screenshot below.

You can also search the recycle bin for a specific item that you may have deleted by using the search bar in the recycle bin. And, if you want to see your deleted items or all deleted items, you can do so by clicking “My Deleted Items” or “All Deleted Items”.
